 A comprehensive list of documents required for a Departmental Promotion Committee (DPC) as per instructions of the Department of Personnel and Training, is as follows:

1.      Recruitment Rules (RRs) of the post.

2.      Proposal/agenda note for holding the DPC.

3.      Vacancy statement year-wise with date of vacancy.

4.      Reservation roster register and roster verification certificate.

5.      Statement showing category-wise vacancies (UR/SC/ST/OBC/EWS).

6.      Seniority list of the feeder grade (duly approved/final).

7.      Eligibility list of officers falling in the zone of consideration.

8.      APAR/ACR dossiers of the officers for the prescribed period (normally last 5 years).

9.      APAR grading summary sheet of officers.

10.  Integrity certificate for each officer.

11.  Vigilance clearance certificate.

12.  Sealed cover cases statement, if applicable.

13.  Certificate regarding communication of adverse remarks in APARs.

14.  Previous DPC proceedings/minutes for reference.

15. Certificate regarding the correctness of service records.

16.  List of officers under suspension, if any.

17.  Representation status regarding seniority or APARs.

18. Approval of the competent authority for convening the DPC.

19.  Statement of disciplinary proceedings pending or contemplated.
